Green Room Coaching is committed to protecting your privacy and handling your personal information with care, whether you work with us in person or through digital channels. This policy sets out what information we collect, why we collect it, how it is used, the legal bases we rely on, and the steps we take to keep it secure. It also explains your rights under applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Confidentiality and digital communication
When services are delivered digitally (for example via email, messaging apps, online forms, video conferencing or other online tools), we take reasonable steps to protect your information, including:
• Using reputable, secure platforms and tools where possible.
• Protecting devices and accounts with passwords and, where available, multi‑factor authentication.
• Limiting access to your information to the coach and any strictly necessary administrative support.
• All Green Room staff sign non-disclosure agreements.
• Retaining information only for as long as needed for the purposes described in this policy and in line with professional and legal requirements.
Confidentiality and organisational reporting
Where organisations request analysis and information on service use, we will anonymise data and information, This includes
• Providing information on themes, without sharing any personal or professional information that could identify you.Â
• Limiting access to your information to the coach and any strictly necessary administrative support.
• Retaining information only for as long as needed for the purposes described in this policy and in line with professional and legal requirements.
Confidentiality and safeguarding
The safety and wellbeing off all our service users and partners is paramount.Â
Confidentiality is the most important aspect of our work together,  This means that the content shared remains between the coach and client.  However under UK law there are several disclosures that if made, render confidentiality no long possible. These are:
• Disclosing terrorist activity or sharing information that leads your coach to believe that there is a risk of radicalisation.Â
• Disclosing being involved in money laundering.
• Disclosing being involved in drug trafficking.
• Disclosing being involved in human trafficking.
Disclosures of self harm, and/or suicidal ideation will not mean that your confidentiality will be broken, however it may mean that further actions are taken to keep you safe and well.
